Position Overview

The Assistant Project Manager (APM) serves as second-in-command to the Project Manager (PM), providing hands-on support across every phase of a single-family home construction project from pre-development through final warranty completion. The APM is a proactive extension of the PM — capable of independently managing day-to-day site activity, vendor communication, and documentation — and steps in to run the project in the PM’s absence. Although the APM may be employed by an external company, all work completed on our properties must align with our construction brand standards, and all public-facing content or social media posts related to the project must follow our branding guidelines and receive prior approval.

Working Relationship with the Project Manager

  • Acts as the PM’s primary point of delegation — takes ownership of assigned workstreams rather than waiting to be directed task-by-task.
  • Serves as the on-site point of contact and decision-maker when the PM is unavailable, off-site, or managing another project.
  • Flags issues, delays, and budget concerns to the PM proactively, with a recommended solution rather than just the problem.
  • Attends site visits, inspections, and subcontractor meetings alongside or on behalf of the PM.
  • Escalates any decision involving scope changes, budget variance, or brand/signage exceptions to the PM before acting.

Responsibilities (Start to Finish)

Pre-Construction / Project Setup

  • Assist in reviewing construction plans, specifications, and client selections; flag discrepancies to the PM.
  • Support the initial site walk and help verify readiness for surveys and permitting.
  • Order and track required surveys (boundary, topographic, staking, etc.) under PM direction.
  • Complete and submit permit applications together with the PM (building, mechanical, electrical, plumbing, driveway, grading, etc.).
  • Set up and track utility connections and disconnects (water/electric/gas).
  • Monitor permitting timelines, log city/county correspondence, and help coordinate neighborhood meetings where required.
  • Maintain project folders, naming conventions, and documentation standards set by the PM.

Bidding & Procurement

  • Distribute bid packages to approved subcontractors and track responses.
  • Compile bid comparisons for the PM’s review and negotiation.
  • Verify subcontractor licensing, insurance, and safety compliance documentation is current and on file.
  • Track subcontractor general liability insurance certificates and waivers, monitoring expiration dates and securing renewals before coverage lapses.
  • Communicate brand expectations and property rules to vendors on-site.
  • Prepare purchase orders and contract scopes for PM approval and signature.

Design & Architectural Support

  • Coordinate logistics between designers and the field, keeping selections, finishes, and plans on schedule.
  • Document field adjustments and structural questions for the PM and design team.
  • Help translate approved design decisions into updated documentation for subcontractors.

Construction Management

  • Conduct daily or weekly site visits depending on build phase, in coordination with the PM.
  • Coordinate subcontractor scheduling to maintain the project timeline.
  • Hold subs accountable on-site for quality, safety, cleanliness, and adherence to scope.
  • Coordinate and attend inspections (foundation, framing, mechanical, insulation, final, etc.).
  • Keep the project schedule current and flag delays to the PM immediately.
  • Log change orders with reasons, cost impact, and approval status for the PM’s sign-off.
  • Ensure proper use of our brand signage, branded jobsite materials, and approved marketing assets on the property.
  • Keep Buildertrend current and accurate — including bidding, progress logging, documentation and tracking, scheduling, and other day-to-day workflows as directed by the PM.

Budget & Financial Support

  • Assist the PM in preparing Sworn Construction Statements for each draw.
  • Collect and pre-verify invoices, lien waivers, insurance certificates, and subcontractor pay requests before PM review.
  • Track budget line items and flag variances, overages, or savings opportunities to the PM.
  • Keep financial documentation current in shared project files.

Buyer Interaction (If Home Sells During Construction)

  • Help coordinate buyer walkthroughs and selection confirmations.
  • Document buyer-driven change orders, including pricing and timeline impact, for PM approval.
  • Relay timely updates to the sales team and internal stakeholders.

Project Documentation

  • Maintain complete digital project files: permits, surveys, plans & revisions, bid sheets, inspection reports, change orders, and daily logs.
  • Capture jobsite photos following our branding and social media approval standards.
  • Prepare weekly progress updates with photos and status summaries for the PM’s review before distribution.

Quality Control

  • Perform first-pass quality checks at each major phase (foundation, framing, pre-drywall, trim, final) ahead of PM sign-off.
  • Confirm materials and workmanship meet specifications and company standards.
  • Flag issues early and help coordinate corrective actions with subcontractors.

Closeout & Turnover

  • Build and track the punch list with subcontractors and the internal team.
  • Confirm inspections have passed and COO/C of O has been issued.
  • Collect final lien waivers.
  • Coordinate professional cleaning and home preparation for turnover.
  • Assemble key packets, warranties, manuals, and maintenance guides for delivery.

Warranty Phase

  • Log and coordinate warranty service requests within required timelines.
  • Schedule subcontractors for warranty repairs and confirm completion documentation.
  • Track recurring issues and report patterns to the PM for process improvement.

Branding & Social Media Requirements

Because the APM may work for another company, the following rules apply:

  • All project sites must display our approved construction branding signage.
  • No subcontractor or external company branding is permitted on our job sites without written approval.
  • Any social media posts, photos, reels, drone footage, jobsite updates, or marketing content must: use our branding only, be reviewed and approved by the PM before posting, and tag only approved company accounts (if applicable).
  • No posting by external parties is allowed without express permission.

Required Skills & Experience

  • 1-3 years of experience in residential or single-family construction, as a project coordinator, assistant PM, superintendent, or similar field-support role.
  • Working understanding of permitting, codes, inspections, and build sequencing.
  • Comfortable tracking budgets, schedules, and vendor relationships under a PM’s direction.
  • Clear verbal and written communicator, comfortable on-site and with subcontractors.
  • Strong organizational skills and follow-through on assigned tasks.
  • Proficient with project management software, cloud filing, and digital communication tools.

Performance Expectations

  • Reliably execute delegated tasks with minimal follow-up needed from the PM.
  • Keep the PM informed with proactive, timely communication — no surprises.
  • Uphold the same quality, safety, and brand standards as the PM in their absence.
  • Demonstrate readiness to take on full PM responsibilities as capacity and experience grow.

Growth Path

This role is designed as a development track toward a full Project Manager position. Strong performers may be considered for future project opportunities across Raich Companies LLC, a private equity organization with multiple construction-related verticals, including single-family remodel, multifamily construction or renovation, and commercial construction projects.
